Campaign Manager

Get to know the Campaign Manager and how to create, distribute, and track campaigns to efficiently collect provider responses and manage data.

The Campaign Manager is your central tool for managing requests and tracking responses. Whether you’re sending surveys, compliance requests, or reminders, this tool helps you organise, automate, and monitor your campaigns.

The Campaigns module allows users to collect structured data from providers in a scalable and automated way. It enables organisations (e.g., Local Authorities) to:

  • Create custom forms.

  • Distribute them to selected providers.

  • Collect and review responses in real time.

This supports key processes such as regulatory data collection, compliance checks, and annual provider submissions.


Key Features

  • Provider Filtering
    Select recipients based on location, rating, service type, or custom lists.

  • Templates
    Choose from pre-built message templates or create your own.

  • Scheduling
    Send messages immediately or schedule them for a later time.

  • Response Tracking
    Track provider responses, including who has responded, who is pending, and who has not yet engaged.

  • Automated Reminders
    Configure reminders for providers who have not responded within a set timeframe.

  • Reporting
    Access built-in reporting tools to review campaign performance and outcomes.


What is a Campaign?

A Campaign is the process of sending a form to selected providers and collecting their responses.

Step 1: Create a Campaign

Enter:

  • Campaign name.

  • Description.

  • Purpose.

  • Owner and collaborators.


Step 2: Select Providers

Choose the recipients of the campaign:

  • Individual providers.

  • Groups (e.g. all care homes, all dentists).


Step 3: Attach a Form

Select a previously created form from the Form Builder.


Step 4: Schedule the Campaign

Define:

  • Start date.

  • End date.

  • Completion window.


Step 5: Send & Collect Responses

Providers will:

  • Receive the campaign via Provider Gateway.

  • Complete and submit the form.


Monitoring & Responses

As the campaign runs, you can track response rates in real time, view individual submissions, and access all submitted data.

🤓Tip: Only providers have access to the Provider Gateway, can view and complete assigned forms and submit responses and upload files if required.
