The Campaigns section in Access Provider Gateway gives you a coordinated, trackable way to engage your care providers. You can request information, share updates, conduct surveys, promote initiatives, and manage compliance tasks across multiple providers, while monitoring responses and ensuring follow-through.
⚠️ Important: You'll need Manager or Administrator permissions to create and manage campaigns.
What the Campaigns section includes
The Campaigns section gives you a range of tools to manage provider engagement effectively.

How to create and manage a campaign
Open Campaigns
Click Provider Gateway, then click Campaigns.
Start a new campaign
Click Create campaign.
Enter a clear title and select the purpose of your campaign, for example a compliance request, feedback survey, or information update.
🤓 Tip: Having a clear purpose before you start will help you select the right recipients, message, and form for your campaign.
Select recipients
Click Add recipients.
Select providers individually or filter by location, service type, or rating to build your recipient list.
Review your selection, then click Confirm.
📌 Note: You can combine filters to narrow down your recipient list to the most relevant providers for your campaign.
Compose your message and attach forms
Select a message template from the dropdown or click Write custom message to create your own.
Enter your message in the text editor.
Click Attach form to add any forms or documents you need providers to complete.
Review your message and attachments before moving on.
🤓 Tip: Using a template saves time and ensures your message is consistent across campaigns.
Set your schedule and reminders
Select Send now to launch immediately, or select Schedule for later and enter your preferred date and time.
Turn on the Automated reminders toggle to notify providers who have not responded.
Enter the number of days after the campaign launch that reminders should be sent.
📌 Note: Setting automated reminders reduces the need for manual follow-up and improves response rates.
Launch your campaign
Review all campaign details, including recipients, message, attachments, and schedule.
Click Send to launch the campaign, or click Schedule to confirm your scheduled date and time.
⚠️ Important: Once you click Send, the campaign is launched and providers will be notified immediately. Make sure all details are correct before sending.
Track responses
Click Campaigns to return to the dashboard and view all active campaigns.
Click a campaign to open the response dashboard and monitor real-time updates.
Review which providers have responded and which have outstanding actions.
Click Send reminder next to any non-responding provider to follow up individually.
Analyse and export results
Click Reports within the campaign to view response rates, completed forms, and outstanding actions.
Click Export to download campaign data for internal reporting or further analysis.
📌 Note: Exported data is available in Comma-Separated Values (CSV) format for use in spreadsheet tools.
