Campaigns is a data-collection tool built into Provider Manager that lets your Local Authority team design forms and send them to your providers.
What Campaigns does
Campaigns gives you full control over the information you collect from your providers. You can gather exactly the data you need — whether that is net promoter scores, safeguarding declarations, financial returns, or quality self-assessments — and every response flows back to you automatically.
Forms can be sent as a one-off or on a recurring schedule, such as a monthly return. If you also use Provider Intelligence, response data feeds straight through for reporting and analysis.
The two parts of Campaigns
Campaigns has two main areas, both found in the left-hand navigation of Provider Manager:
Form Builder: Where you design the forms your providers complete. You can drag and drop fields, add conditional logic, or use the AI Form Builder to generate a form in seconds.
Campaign Manager: Where you choose who receives a form, when, and how often, then track responses as they come back.
📌 Note: It is best to build your form first, then set up the campaign that sends it.
Why use Campaigns
Campaigns removes the need to rely on manual processes or support requests to collect provider data. Everything is self-serve, meaning your team can build, send, and track returns without technical knowledge.
Time savings
Building a complex return used to mean an eight-day turnaround through support requests. With the AI Form Builder, the same form can now be built in about a minute.
Flexibility
You can run a campaign once or set it to repeat automatically — daily, weekly, monthly, quarterly, every six months, or annually. Automatic reminders are sent to providers seven days, three days, one day before the deadline, and on the day itself.
Scale
Running large campaigns — for example, to 1,000 providers every month — generates a large amount of data. Responses also flow into Provider Intelligence, making it easy to analyse trends and report across your whole market.

Follow these recommendations to get the most out of Campaigns.
Build your form before your campaign
Always build and preview your form before creating a campaign. This ensures the form is ready to publish and attach when you set up your campaign.
Good practice: Build your form, preview it across desktop and mobile, publish it, then create your campaign.
Poor practice: Starting a campaign before your form is complete or published.
Use conditional logic to keep forms relevant
Conditional logic means providers only see the questions that apply to them. This keeps forms short and focused, improving response rates and data quality.
Good practice: Using a Yes/No Toggle to show regulated providers a different set of questions to unregulated providers.
Poor practice: Sending every provider every question regardless of whether it applies to them.
Keep your Provider Directory up to date
Automatic reminders are sent to each provider's primary contact as recorded in your Provider Directory. Out-of-date contact details mean reminders do not reach the right people.
Good practice: Regularly reviewing and updating primary contacts in your Provider Directory.
Poor practice: Launching a campaign without checking that provider contact details are current.
Use recurring schedules for regular returns
If you collect the same data on a regular basis, set up a recurring campaign rather than creating a new one each time. This saves time and ensures consistency.
Good practice: Setting a monthly recurring schedule for a monthly financial return.
Poor practice: Manually creating and launching the same campaign every month.
