You can use the campaign wizard in Campaign Manager to send a published form to your providers. The wizard takes you through four simple steps — campaign details, provider selection, form selection, and scheduling — before you launch.
⚠️ Important: You'll need a published form before you can create a campaign. See save and publish a form if you haven't done this yet.
Step 1: Add your campaign details
To set up your campaign details, follow these steps.
In Access Provider Manager, select Campaigns in the left-hand navigation, then click Campaign Manager.
Click Create New Campaign.
Enter a name for your campaign — for example, 'Quarterly Quality Return'.
Add a description so colleagues understand its purpose.
Choose a purpose to categorise the campaign — for example, feedback or safeguarding.
Click Next.
📌 Note: Campaign purposes are configured in Settings, then Manage Data. Setting up purposes lets you separate campaigns by the type of data you are collecting.
Step 2: Select your providers
To choose which providers will receive the form, follow these steps.
Filter the provider list by service type and location if needed.
Select the provider or providers who should receive the form.
Click Next.
Step 3: Select your form
To choose the form to send with your campaign, follow these steps.
Click the published form you want to send.
Click Next.
📌 Note: Only published forms appear in this list. If you can't see your form, check that it has been published. See save and publish a form for more information.
Step 4: Review and schedule
To review your campaign and set its schedule, follow these steps.
Review your campaign summary to check the details are correct.
Set your launch mode — launch immediately, or schedule for a future start date and time.
Set a deadline date for when the return is due.
Choose a schedule type from the following options:
Run once.
Daily.
Weekly.
Monthly.
Quarterly.
Every six months.
Annually.
Select your reminder preferences — automatic email reminders can be sent seven days, three days, one day before the deadline, and on the day itself.
Click Launch Campaign.
⚠️ Important: You must set a deadline date before you can launch. If you choose to launch immediately, the campaign is sent to your selected providers straight away.
📌 Note: Reminders are sent by email to each provider's primary contact, as recorded in your Provider Directory. Keep your Provider Directory contacts up to date so reminders reach the right people.
