Access Identity is a secure authentication and user management tool provided by The Access Group. It gives your organisation a single, consistent way to manage who can log in, what they can see, and what they can do across your connected care platforms.
You'll need Administrator permissions to manage users and roles in Access Identity.
What Access Identity does
Access Identity gives your organisation control over six key areas of user access and security.
Secure login: You and your team log in to care platforms using a single set of Access Identity credentials.
Multi-factor authentication (MFA): On accounts with MFA enabled, a verification code is sent to your phone or email. You enter this code to complete your login.
Role-based access: Your role determines which parts of the platform you can use and what data you can see.
Single sign-on (SSO): After logging in, you can move between connected tools without needing to log in again.
User management: Administrators can invite new staff, assign or change roles, suspend accounts, and remove users from a central dashboard.
Audit trail: Access Identity keeps a record of who logged in, what permissions were changed, and access history, which is helpful for compliance and security reviews.
How Access Identity works
Logging in
Your team logs in using their Access Identity credentials. On accounts with MFA enabled, a verification code is sent to their phone or email. They enter this code to complete the login.
Role-based access
Each user is assigned a role when their account is created. Their role determines which parts of the platform they can use and what data they can see. Common roles include Administrator, Manager, Care Worker, and Inspector.
đ Note: Your Administrator can update your role at any time if your responsibilities change.
Single sign-on
Once logged in, your team can move between connected tools, such as Access Provider Gateway and Access Campaigns, without needing to log in again. This saves time and reduces the risk of weak or repeated passwords.
User management
Administrators manage all users from a central dashboard in Access Identity. From here, you can:
Invite new staff members.
Assign or update user roles.
Suspend accounts for staff on leave.
Remove users when they leave the organisation.
â ď¸ Important: Remove or suspend user accounts promptly when staff leave your organisation to protect sensitive data.
Audit trail
Access Identity keeps a full record of login activity, permission changes, and access history. You can use this for compliance reviews and security investigations.
Good vs poor practice
Good practice:
Review user roles regularly to ensure staff only have access to what they need.
Enable MFA for all users to add an extra layer of account protection.
Remove or suspend accounts promptly when staff leave your organisation.
Use the audit trail to investigate any unexpected login activity.
Poor practice:
Leaving accounts active for staff who have left the organisation.
Assigning Administrator roles to users who only need standard access.
Sharing login credentials between team members.
Ignoring audit trail alerts or login anomalies.
Summary
Access Identity gives your organisation a secure, consistent way to manage user access across your connected care platforms. By keeping roles up to date, enabling MFA, and reviewing your audit trail regularly, you can protect sensitive data and stay compliant with confidence.
