Knowledge and document intelligence overview

Everything you need to know about using the knowledge base and document intelligence features to find, manage, and reference provider documents and notes in Access Provider Intelligence.

Access Provider Intelligence brings all provider-related knowledge into one centralised hub, including uploaded documents, internal notes, and summaries. You can search across everything using natural language, making it quick and easy to find the information you need to support decision-making and provider management.

⚠️ Important: Only users within your organisation can see your private documents and notes. Documents and notes are not shared with providers or external users by default.

Find and search for knowledge

You can find all documents and notes for a provider directly from their provider record.

  1. Click the provider's name in the Providers list to open their record.

  2. Click the Knowledge tab.

  3. Review all uploaded documents, internal notes, and Notes Centre summaries for that provider.

To search across your full knowledge base:

  1. Click the Knowledge Search bar at the top of the Knowledge tab.

  2. Enter a keyword or a full question, for example: "Show me the latest safeguarding policy for Sunrise Care Home."

  3. Review the results, which will include matching documents, notes, and summaries.

🤓 Tip: Use clear keywords or full questions when searching for the best results.


Upload a knowledge document

You can upload new documents to a provider's knowledge hub at any time.

  1. Click the provider's name in the Providers list to open their record.

  2. Click the Knowledge tab.

  3. Click Upload document.

  4. Select your file. The following file types are supported:

  • Portable Document Format (PDF).

  • Word document (DOCX).

  • Excel spreadsheet (XLSX).

  • Plain text file (TXT).

  1. Click Upload to save the document to the provider's knowledge hub.

📌 Note: Knowledge items are tagged automatically so you can filter by type, for example to see only policies or only contracts.


View Notes Centre summaries

The Notes Centre automatically aggregates and summarises provider notes, including clinical dictations, so you can review key information quickly without reading through lengthy notes.

  1. Click the provider's name in the Providers list to open their record.

  2. Click the Knowledge tab, then click Notes Centre summaries.

  3. Review the summarised notes for that provider.

📌 Note: Notes Centre summaries are generated automatically from internal notes and clinical dictations added to the provider record.


Find providers with documents

You can filter the main providers list to quickly identify which providers have knowledge or documents attached to their record.

  1. Click Providers in the main menu.

  2. Click Filters, then turn on the Providers with documents toggle.

  3. Review the filtered list of providers with attached knowledge.


Good and poor practice

Good practice

  • Use natural language questions in the Knowledge Search bar to find specific documents quickly, for example "Show me the latest inspection report for Sunrise Care Home."

  • Upload documents to the correct provider record so all knowledge is centralised and easy to find.

  • Use the Notes Centre summaries to get a quick overview of a provider's history without reading through every individual note.

  • Use the document type filter to narrow results when you know the type of document you are looking for.

Poor practice

  • Storing provider documents outside of Access Provider Intelligence, which makes them harder to find and share with your team.

  • Using vague or incomplete search terms, which can return too many results and make it harder to find the right document.

  • Not tagging uploaded documents correctly, which makes filtering by document type less effective.
