Import content into your Knowledge Bank using AI

Use AI-powered importing to quickly bring content into your Knowledge Bank, reducing manual effort and speeding up content creation.

If you have a large amount of content to add to your Knowledge Bank, you can import it using a spreadsheet and let AI do the heavy lifting. The module reads your file, identifies your questions, standards, and domains, and presents them for you to review before importing. You can also choose to build a matching question template automatically at the same time.

Prepare your file

Before you import, make sure your file is ready:

  • Use a Portable Document Format (PDF), Word, Excel, Comma-Separated Values (CSV), or text file.

  • Keep the file size under five megabytes (MB).

  • Use CSV or Excel where possible — Access Provider Manager provides a ready-made CSV template to get you started.

🤓 Tip: Using the ready-made CSV template ensures your content is structured correctly and reduces the chance of errors on the review screen.


Upload and analyse your file

To import your content:

  1. Click Quality Assurance in the left-hand navigation, then click Knowledge Bank.

  2. Click Import Knowledge.

  3. Select the Service Type from the dropdown.

  4. Drag in your file, or click Browse Files to locate it.

  5. Click Upload & Analyse.

⚠️ Important: You must select a service type before uploading your file. Every assessment is carried out at service-type level, so this step is mandatory.


Review and confirm your import

Once the module has analysed your file, a review screen shows everything it found — for example, your questions, standards, and domains. To review and confirm:

  1. Expand each item to check the details are correct.

  2. Edit any items that need tidying up.

  3. Delete any items that aren't right.

  4. Choose one of the following options:

    • Confirm import: Adds all the items straight into your Knowledge Bank, ready to use in a template you build later.

    • Continue and build with AI: Adds the items and immediately assembles a matching question template for you.

🤓 Tip: If you're ready to build your question template straight away, choose Continue and build with AI — it saves you time by assembling the template automatically from the content you've just imported.
