The quality of your AI-generated summary depends largely on the quality of the input. Following these good practice tips helps NotesCentre produce accurate, useful summaries and reduces the amount of editing needed afterwards.

Recording quality

Good audio quality makes a significant difference to transcription accuracy.

  • Record in a quiet environment where possible. Background noise — such as traffic, televisions, or other conversations — can reduce transcription accuracy.

  • Hold the device at a consistent distance from your mouth. Too far away and the audio may be too quiet; too close and it may distort.

  • Speak clearly and at a natural pace. There is no need to slow down artificially, but avoid rushing.

  • If you are recording a conversation with another person, make sure both voices are audible to the device.

Using Conversation Guides

Conversation Guides help you structure your conversations so that the content you need is captured consistently.

  • Prepare your Conversation Guide before the conversation starts so it is ready to refer to.

  • Use the guide as a prompt rather than a script — natural conversation produces better transcription results than reading from a list.

  • If a question is not relevant to a particular conversation, skip it rather than forcing an answer.

  • Review and update your guides regularly to make sure they reflect current practice and policy.

Choosing and applying templates

Selecting the right template before submitting a note helps the AI structure the summary in the most useful way.

  • Choose the template that most closely matches the purpose of the note — for example, a visit summary template for a home visit rather than a general case note template.

  • If you are unsure which template to use, check with your manager or system administrator.

Reviewing summaries

AI-generated summaries are a strong starting point, not a finished record.

  • Always read the full summary before saving or sending it to another system.
