Once you submit an on-site assessment, it moves into an open review loop between you and the provider. You and the provider can exchange comments and evidence back and forth as many times as needed, until both sides agree on the final rating.
What the provider sees
When you submit the assessment, its status changes to With Provider and it appears in the provider's Access Provider Gateway. The provider can view the assessment, add their own comments, and upload evidence against each question. When they're ready, they can either accept your ratings or send the assessment back to you for further review.
📌 Note: By default, the provider cannot see the overall rating while the assessment is in progress. You can control this in Quality Assurance (QA) configuration using the Hide overall rating until complete setting. Leave it on to reveal the rating only once the assessment is finalised.
Review the provider's response
When the provider sends the assessment back, its status changes to With LA. To review their response:
Click Quality Assurance in the left-hand navigation, then click Manage Assessments.
Click On-Site Assessments, then open the assessment with a With LA status.
Review the provider's comments and evidence alongside each question.
Adjust any ratings where needed — for example, if the extra evidence warrants a higher rating.
Add your own comments where needed.
Click Send Back to return the assessment to the provider for further clarification, or proceed to finalise if you're satisfied.
🤓 Tip: The review loop can continue as many times as needed — there's no limit to how many times you and the provider can exchange comments and evidence.
Reach agreement
The review loop continues until both parties are happy with the ratings. When the provider is satisfied:
The provider clicks Accept in their Access Provider Gateway.
The assessment status changes to Agreed.
📌 Note: Once the assessment is Agreed, the provider can still view it but can no longer make changes.
